How Cloud Evolution collects, uses, and protects personal information.

Information we collect

  • Contact and enquiry data — name, email, organisation, phone (if provided), engagement interest, and message content from forms or email.
  • Engagement data — information reasonably required to deliver change management consulting, including stakeholder names and roles shared by the client.
  • Technical data — limited server logs (IP address, browser type, pages visited, time) and cookie-related data as described in our Cookies page.

We do not seek sensitive information through the website form. Please do not submit health details, government identifiers, or confidential employee records via the public form.

Purposes

We use personal information to respond to enquiries, prepare proposals, deliver and administer engagements, invoice, improve our site, and meet legal obligations.

We process information with your consent (for optional analytics cookies), to take steps at your request before a contract, to perform a contract, and where we have a legitimate interest in operating a consulting practice that does not override your rights.

Retention

Enquiry records are kept for up to twenty-four months unless a longer period is needed for an active engagement or dispute. Engagement files are retained for seven years after the engagement ends, consistent with ordinary business and tax practice in New Zealand, unless a contract requires otherwise. Server logs are rotated on a shorter cycle.

Sharing

We do not sell personal information. We may share it with:

  • Service providers who host email, file storage, or this website, under confidentiality obligations
  • Professional advisers where required
  • Authorities where required by New Zealand law

Client stakeholder information obtained during an engagement is treated as confidential and used only for that engagement unless the client instructs otherwise.

International transfers

Some processors may store data outside New Zealand. Where that occurs, we take reasonable steps to ensure comparable safeguards, including contractual protections with providers.

Your rights

Under the Privacy Act 2020 you may request access to and correction of personal information we hold about you. You may also raise a complaint with the Office of the Privacy Commissioner. To exercise access or correction rights, email info@cloud-evolution.digital. We respond within the timeframes required by law.

Security

We use reasonable technical and organisational measures appropriate to a small consulting practice. No method of transmission is perfectly secure; please use secure channels for highly sensitive materials.

Children

This site is directed at business audiences. We do not knowingly collect information from children.

Updates

We may update this policy by revising this page. Material changes will be reflected by an updated publication context on the site.
